Administrative Assistant
Office of Special Services / Facilities & Transportation Department
A successful candidate will:
Assists with all office related tasks related to the Department Of Special Services and the Department of Facilities & Transportation.
Maintains constant communication with special services regarding meetings, records, procedures and other concerns.
Acts as a resource to staff and public, responding to requests for information, providing appropriate information and directing requests to the appropriate person as needed.
Maintain student records with accurate forms and information. Forwards student records to appropriate agencies and offices.
Maintains accurate records and generates data for state and federal forms.
Prepares and maintains contracts for all contracted providers as directed.
Miantians office inventories and office supplies
Works closely with the Directors in all areas off the budget process
Receives deliveries and processes packing slips against Purchase Orders
Operates and maintains a variety of office equipment including scheduling maintenance and ordering of supplies
Works and uses multiple computer based platforms and software program on a daily basis.
Schedules meetings, conferences, transportation needs, and staffing coverage as directed.
Manages paperwork related to interviewing and hiring process, including schedules and follow-ups as requested.
Maintains and updates transportation schedules and records.
Maintains MaineCare, EUT and FS05 records and procedures for billing and maintains accurate data for billing & reimbursement purposes
Performs other duties as assigned by the Director of Special Education and/or Director of Facilities and Transportation.
